CHAPTER
I
THE
PROBLEM AND ITS BACKGROUND
Introduction
Our Client is the school of Our Lady of
Victories Academy also known as“OLOVA” in Amulung, Cagayan; our system is
Attendance Monitoring System, only applicable to the teachers and other staff
or personnel in the school using their ID, it is only applicable to the
students if there is a huge activities in school like foundations, intramurals
and other activities.
Every school takes its
responsibilities towards monitoring student’s attendance very seriously. Many schools already have processes in place to
record and follow up persistent absence as an integral part of their duty of
care.
Attendance
is very important in every students, a single absent is big difference in
performance in the school. Mostly students of high school are prone to
absences, it is because of some reasons that they think it is a boring class,
laziness to attend the class, some students prefer going to computer shops
playing games rather that entering the class and some students cannot refuse
the influence of a friend or peer pressure.
Most of the
schools nowadays are implementing automated techniques and processes to meet
their growing needs, and it can be best defined by widely used of computers and
other devices. Attendance is a time record of numbers of student present during
events, generally defined as systematic accurate all. It is an obligation of
every student as fullest potential. It is very important to the student and
etc. to maintain their attendance from school or work.
Statement
of the Problem
1.
Maximizing the time of the teachers to their
attendance.
2.
Maximizing the time checking the attendance of the
student if there is an activities in school like the foundation and etc.
3.
It is hard for them to identify the penalty of
student to be given depending on his attendance as regards to his/her absences
if there is an activities in school.
Hypothesis
The
proposed system will be capable of maintaining the efficiency of every student
attendance record through Student ID.

We will be creating an attendance monitoring system
to lessen the time of the teachers and the personnel to take their attendance.
2.
Minimizing the time checking the attendance of the
student if there’s an activities.
3.
The proposed system also has the capability of
computing penalty of student to be given depending on his attendance as regards
to his/her absences if there’s an activities.
Significance of the study
This study is conducted to propose and
develop a new system that would be of great advantage to the school,
researchers, and to future researchers.
Our Lady of Victories Academy - The result
of the study would provide more efficient and effective processing of the data.
It would also result to faster and easier generation of the outputs; hence,
reports are submitted on time for timely decision making.
Researchers - The conduct
of this study helped the researchers to work independently. The researchers
able to practiced their knowledge in System Analysis Design.
Future Researchers - This study
will serve as a guide for other researchers who intend to explore along the
same line of the study.
Scope and
Delimitation
The
study covers the used of the present system but just automating it to easily
check the attendance of the students and teachers. To make it easier to
identify their records and penalties.
The
proposed system will be capable of maintaining the efficiency of every student
attendance record through Student ID. The proposed system also has the
capability of computing penalty of student to be given depending on his
attendance as regards to his/her absences per event.
Definition of Terms
Absent
- not present in a place, at an occasion, or as
part of something.
Activity - the condition in which things are happening or being
done, A thing that a person or group does or has done.
Attendance
– the action or state of going regularly to or
being present at a place or event.
Manual Processing – it is done
or operated only by a hand or hands.
Monitoring - is the
regular observation and recording of activities taking place in a project or
program.
Penalty - a punishment imposed for breaking a law, rule, or contract.
Queue - is
a line of people who are waiting for something or a series of instructions that
are stored in a computer so that they can be processed later.
System - is a collection of components that works together to perform a specific
task.

II
REVIEW
OF RELATED LITERATURE AND STUDIES
This chapter presents
several literature and studies that provide information data that is related to
the present study and provide guidance to the researcher for better understanding.

Literature
RFID student attendance
monitoring system is a system that will take students attendance by using RFID
technology. This system mainly comprises of Nokia 6212 NFC mobile which is used
as RFID reader, RFID tags which are embedded to the students ID cards and
Server machine which is likely computer. This system records student’s
attendance to an attendance database server. (Rodrigo, 2012)
“With
the help of an attendance system, institutions and other organizations can save
time and money. When we talk about an attendance management system it is not
specifically only for schools or companies. It can be used everywhere where
people in large number work. Apart from saving time this system also helps in
saving money of the organization which was otherwise lost in monitoring,
tracing and updating information.
Cost spent on buying supplies
like ink, paper, files, sheets, pens, punching machines, and many more all can
be saved with the use of automated systems.
This system benefits teachers,
management staffs in schools and colleges and managers in companies to easily
view all the collected data within a single click. This stored data is stored
in a database and hence is safely stored for years together. The same data is
stored in documents are sure to get misplaced soon in the near future. To avoid
all such problems all the organizations are using this system for a peaceful
maintenance.
This system can be very
beneficial for human resource departments too as they can view the records of
their employees and then provide salary to them. With this system issuing the
salary would not at all be tough for companies as they can very easily check
the record of employees and issue the salary. This system if used can be used
for a long term process. Archive data too can be obtained as the data base is
updated every year with a fresh set of important information and records.” (G. Radhakrishnan, 2012)
Related Studies
According toNasir Uddin(September 10, 2011), for the developing
economies like Bangladesh capital market is like an engine for growth. It acts
as an intermediary between surplus units and deficits units. Whereas,
transparent and investors friendly business atmosphere is essential in capital
market for building confidence of general investors. There are a wide range of
investors from well-known informed to rumormonger, the gambler to complete risk
avoider. So a common strategy from the regulator should be taken to balance the
whole market. The monitoring investigation, grievance and legal department of
DSE plays an important role to build up investor’s confidence by providing
service to its broker house as well as the investors. The bourse has a strong
monitoring cell, which prime objective is to provide a perfect working
environment by providing service to the member houses and investors. Since 2003
the monitoring cell is doing its operation by a fearless team. Over the years,
the department has earned its trust and confidence and support through its
enthusiasm. This paper is an outcome of study conducted in DSE; the study has
identified the reasons for some irregularities in the stock market and tried to
find out what are the loopholes to the securities laws and regulations. The
findings of the study revealed that the present market is not limited with the
high income people of the society; the small income investors are also
spontaneously invest their savings.
The
study indicated that for the smooth functioning market the importance of the
monitoring cell is evidently important. The effectiveness of the monitoring cell
is shown by the time series analysis and contribution of monitoring in stock
market. The study suggests that as the number of brokerage houses are increased
all over the country DSE has to improve its monitoring system. And, the
investors should be aware of their rights, responsibilities and duties.
However, the findings shows that in terms of problem identification the
brokerage house with the department of DSE is quite effective and playing a
vital role in a capital market. For the sake of stability and to maintain
sustainable growth in the securities market there is no alternative to
complying with securities related rules. For this purpose the Monitoring,
Investigation and Compliance Department (MIC) of the Dhaka Stock Exchange
Limited has been continuing its monitoring related activities.
Synthesis
The related
literature discussed all the deal of the attendance system which have something
to do with the present study. The profiles of the items give easier efforts to monitor
the attendance.
The related studies discussed the time
efforts of employees concerned are maximizes for productivity of reports and
our proposed system provides systematic and organized handling and generation
of reports.
CHAPTER III
RESEARCH METHODS AND PROCEDURES
This chapter presents the research methods
and procedures used in this study such as research design, respondents of the
study, locale of the study and the research instruments.
Research Design
The researcher used the Waterfall Method of
the study.
System Design - The requirement specifications from first
phase are studied in this phase and system design is prepared. System Design
helps in specifying hardware and system requirements and also helps in defining
overall system architecture.
Implementation - With inputs from system design, the system
is first developed in small programs called units, which are integrated in the
next phase. Each unit is developed and tested for its functionality which is
referred to as Unit Testing.
Integration and
Testing - All
the units developed in the implementation phase are integrated into a system
after testing of each unit. Post integration the entire system is tested for
any faults and failures.
Deployment of system - Once the functional and non-functional
testing is done, the product is deployed in the customer environment or
released into the market.
Maintenance - There are some issues which come up in the
client environment. To fix those issues patches are released. Also to enhance
the product some better versions are released. Maintenance is done to deliver
these changes in the customer environment.
Respondents of the Study
The
respondents of the study are the faculty and the students of Our Lady of
Victories Academy (OLOVA) of Amulung, Cagayan.
Locale of the study
This study
was conducted at Our Lady of Victories Academy (OLOVA) of Amulung, Cagayan during
the school year 2014-2015.
Research instruments
Interview
The
researchers interviewed the concerned personnel in order to understand some
information that the researcher does not explain.
Library Technique
This
technique was used whenever the researchers met difficulties concerning the
study. It provides the researchers much needed information they needed.
Internet Surfing
The researchers used the internet for
further understanding about the study and used it to find more related topics
concerning this study.
Observation
The actual
observation is done to know the techniques about the objectives of the study.
Reading and Review of the Documents
Pertinent
documents and form were included in this study.
